Control Process
Inventory management and categorization
This software allows you to maintain a detailed inventory of all equipment requiring periodic control for each client. Each item is categorized by equipment type, with the ability to associate specific points to check during a control. Crucial information such as location, holder, supplier and dimensions can be recorded for each item. Other properties can vary by equipment type and be added as needed, ensuring precise and personalized management of your inventory.
1. Control list preparation
Before a control can be performed, it must be prepared. The preparation of equipment control lists is simplified through an intuitive interface. Lists can be established for a specific date, by assigning the experts responsible for controls and defining associated preferences. These preferences include choosing recipients for notifications and control reports, as well as the layout used for emails and control reports.
Notifications and control report sending are addressed to the email associated with the client and/or experts. The layout of emails and reports generated for the client can vary according to the client and the equipment controlled. The email and report layout is fully customizable based on each client's specific needs.
2. Control list validation
Once the control preparation is complete, it can be validated to be carried out by the experts. The validated control is added to the list of controls to be performed. The associated experts receive a notification regarding the pending control. On the scheduled day of the control, the experts go to the defined location to take charge of the control.
3. Control performed by experts
Authorized experts have access to validated control lists assigned to them, via various devices such as smartphones (iPhone/Android), tablets or PCs.
Scanning a QR code* facilitates searching for items to control in the control list.
Experts must review the various control points associated with each item and simply indicate by checking the boxes whether a point is in order or not. At the end, a general status for the item indicates whether it is in order, repairable, to be destroyed or simply not found. Some points on the list can be of "Critical" type and prevent changing the general status of the item to "In order".
To proceed to the control validation step and generate reports and their transmission, all items on the list must have been controlled.*) QR codes must be generated with the item code and printed individually to be affixed on each item. For QR code generation and printing, a third-party application must be used.
**) Offline mode offers limited access to features. This mode only allows performing and synchronizing controls, without the ability to update other data from the central database. Any necessary modifications must be made before switching to offline mode.
4. Report transmission
Once the control is complete, a detailed report can be sent automatically or manually by email, including a PDF report for each inspected item. Control result reports are generated for each item on the control list, according to the selected layout. The PDFs and control report can be transmitted to the concerned client.
This step depends on the initial configuration defined during control preparation. It can be automated following control validation by experts or performed manually by an authorized person.
